TERMS AND CONDITIONS FOR SPONSORS & VENDORS

Your registration will indicate your agreement with our terms and conditions for this event:
As a condition of participating, Vendors are required to have proper insurance coverage for their booth space, products and staff. The Bradford Board Of Trade is not responsible for any loss or damage to any property belonging to exhibitors. All exhibitors must provide proof of insurance.

On-site Vendors: The Vendor agrees to confine their display / presentation within the contracted space only for the full duration of the event from 9am to 4pm. The floor space of the booth is 10 feet wide and 10 feet deep unless otherwise indicated. Double booths will be 20 feet wide, 10 feet deep.

Management reserves the right at any time to alter or remove vendors or any part thereof, including printed material, products, signs, lights or sound, and to expel vendors or their personnel if in Management’s opinion their conduct or presentation is objectionable to other event vendors and / or attendees.

The Vendor agrees to abide by all regulations and rules adopted by Management in the best interests of the event and agrees that Management shall have the final decision in adopting any rules or regulations deemed necessary prior to, during, and after the event.

The Vendors will not hold The Bradford Board Of Trade, the show coordinators or any of its assignees and employees, responsible for any damage, expense or liability arising from any injury or damage to any person, including the general public, the vendor, its agents or employees or to the property of the vendor or others occurring either in the space occupied by the vendor or elsewhere arising out of its occupancy.

Your email will be added to our contacts list in order to outreach about our show and ongoing communications. Please ensure that the email you register with is actively monitored. We can remove you from the list at any time.

Sponsors are given priority consideration in relation to vendor consideration and booth placement.

VENDOR SERVICES

Thank you for being a vendor with ReDiscover BWG 2022. The Bradford Board Of Trade is not responsible for supplying or arranging contents. Booth rentals are for the marked space only.

Your booth is an empty space. You are responsible to fully furnish your space as you see fit. We do highly recommend that you take the weather forecast into account as this event will go forward rain or shine. Your booth will be located on grass. You may want to consider a tent to protect you from the elements.

RATES

Booths for vendors at ReDiscover BWG are 10 feet wide by 10 feet deep:

  • Bradford Board Of Trade Members in good standing $50 + HST
  • Non-members are $75 + HST

VENDOR SELECTION AND PLACEMENT

There will be no limits on business types although we will do our best to distance “like” businesses when possible.

ReDiscover BWG booths may not be split or shared. One approved business per booth.

Booth placement is given in order of priority to Sponsors and order of payment. Final placement is at the discretion of the Event Committee and decisions are final. Only Sponsors are given placement selection options as described in the Sponsor Packages.

The Show Committee will attempt to accommodate other placement requests on a first paid and approved.

PAYMENT SCHEDULE

Payment is due in full at the time of your application. Applications will not be considered without payment. Priority will be given to businesses within BWG up to Friday, May 13th, 2022. Should your application be rejected by the event committee, all monies will be refunded. 

Vendors must be a Bradford Board Of Trade member in good standing to receive the member discount rate. All vendors must be in good financial standing with the Bradford Board Of Trade. The Bradford Board Of Trade has the right to exclude companies with outstanding account balances.

No refunds beyond Friday, May 27th, 2022 at 5pm. Booths must be booked by Monday, June 6th, 2022. All vendors / booths are subject to availability as availability is limited for on-site.

On-Site Event Schedule

Booth set up will be scheduled. Due to this event being held outside and in order to protect the grounds, vehicles will NOT be allowed on the grass. Rather at your scheduled time, you will pull up in the alcove and our volunteers will assist you by loading your booth items on golf carts to deliver to your assigned space. The reverse will occur for tear down.

All booths must be set up at their assigned time. Please ensure that you plan and design your booth (10′ x 10′ space) ahead of time so that it can be fully completed by the event start at 9am.

The event officially opens to the general public at 9am and runs to 4pm. All vendors are expected to stay for the full duration of the event – Early tear downs will not be permitted.

Tear down will occur after 4pm, per our schedule with golf cart assistance. We do ask that vendors clear out everything and leave nothing behind. We cannot guarantee that any forgotten or left items will be returned. Tear down must be completed by 6pm Saturday.

Parking

We ask that all vendors park in front of the Leisure Centre and not the Library. We are sharing the day with the Bradford Farmer’s Market as well as full schedules at the Library and Leisure Centre. Please ensure that we share the space respectfully with the community.

Duration of the show

The Vendor agrees that no display may be dismantled or goods removed during the entire run of the event (9am – 4pm) and must remain intact until after the closing hour of the event. The Vendor agrees to pay any additional fine that may occur as a result of dismantling and leaving the event early. The Vendor also agrees to remove their exhibit, equipment and appliances from the grounds by 6pm Saturday, June 11th, 2022. Failure to do so, the vendor agrees to pay for such additional costs that may be incurred.

Management reserves the right at its sole discretion to change the date or dates upon which the event is to be held and shall not be liable in damages or otherwise by reason of any such change. In addition, Management shall not be liable in damages or otherwise for failure to carry out the terms of this Agreement in whole or in part where caused directly or indirectly by or in consequence of fire, storm, flood, war, rebellion, insurrection, riot, civil commotion, strike or by any cause whatever beyond the control of Management whether similar to or dissimilar from the causes enumerated herein.

Management reserves the right to cancel this contract and to withhold possession of vendor space if the Vendor fails to perform any material condition of this contract or refuses to abide by the Event rules and regulations in which case the Vendor shall forfeit as liquidation damages all space rental payments made by them and any further occupancy of such space. The Vendor agrees to observe all union contracts and labour relations in force and agreements between Management, official contractors serving companies and the building in which the Event will take place and do so according to the labour laws of the jurisdiction in which the building is located.

Management reserves the right to alter or change the space assigned to the Vendor without penalty.

FOOD VENDORS

Due to the nature of this event, we will not be hosting food vendors on-site. The Bradford Farmer’s Market will be available as well as all of our On-Location vendors from across BWG.
